The solo bottleneck

Back-and-forth on times is unpaid project management.

This guide is part of a free series: 50 useful automations for people running the business alone. Download the printable PDF anytime: Free PDF — Kill the scheduling email thread.

Stack that stays small

Calendly (or Cal.com) + calendar + CRM note.

Tools named here: Calendly, Google Calendar, Zapier. Prefer official docs and native features before adding another SaaS.

Ship the automation

Create event types: Intro 20m, Working 45m, Support 15m.

Add buffers and daily caps so you do not overbook.

Zap booking → CRM contact + agenda doc.

Put the link in your email signature and proposal CTA.

Keep it honest

Offer fewer slots that match deep-work hours. Protect mornings for shipping.

Automations should reduce decisions and errors — not hide broken processes. If a Zap fails weekly, fix the process or delete the Zap.
