The solo bottleneck

Every new client asks the same questions you already answered last month.

This guide is part of a free series: 50 useful automations for people running the business alone. Download the printable PDF anytime: Free PDF — Client onboarding that runs itself.

Stack that stays small

Intake form + Notion client page + email sequence.

Tools named here: Notion, Fillout, Zapier. Prefer official docs and native features before adding another SaaS.

Ship the automation

Build an intake form: goals, access list, brand assets, deadlines.

On submit: clone a client Notion template and fill fields.

Auto-send welcome email with portal link and first milestone.

Internal checklist: access granted, invoice sent, kickoff booked.

Keep it honest

If onboarding needs you for every click, it is not a system yet.

Automations should reduce decisions and errors — not hide broken processes. If a Zap fails weekly, fix the process or delete the Zap.
