The solo bottleneck

FIFO inboxes bury production issues under FYIs.

This guide is part of a free series: 50 useful automations for people running the business alone. Download the printable PDF anytime: Free PDF — Route support by urgency so fires get airtime first.

Stack that stays small

Shared inbox rules + severity labels.

Tools named here: Front, Zapier, Linear. Prefer official docs and native features before adding another SaaS.

Ship the automation

Define severities: P1 outage, P2 money, P3 how-to, P4 feedback.

Auto-tag by keywords (down, refund, invoice, love).

P1 pages you; P3 gets a macro + doc link.

Weekly review of mis-tagged mail to tune rules.

Keep it honest

If everything is P1, nothing is. Protect the definition.

Automations should reduce decisions and errors — not hide broken processes. If a Zap fails weekly, fix the process or delete the Zap.
