The solo bottleneck

Custom proposals eat evenings when every clause is rewritten from scratch.

This guide is part of a free series: 50 useful automations for people running the business alone. Download the printable PDF anytime: Free PDF — Assemble proposals from a living template library.

Stack that stays small

Template in Docs/PandaDoc + snippet library in Notion.

Tools named here: Notion, PandaDoc, Google Docs. Prefer official docs and native features before adding another SaaS.

Ship the automation

Build one master proposal: problem, approach, timeline, price, terms.

Store reusable scope blocks (audit, build, retain) in Notion.

Fill client name, dates, and price with merge fields.

Save every sent PDF to Clients/{name}/proposals/.

Keep it honest

Price tables change more than prose. Keep pricing in one editable block.

Automations should reduce decisions and errors — not hide broken processes. If a Zap fails weekly, fix the process or delete the Zap.
